Welcome to Soul Spa Alchemy's terms of service!
These Terms and Conditions govern all services provided by Soul Spa Alchemy (“Soul Spa Alchemy”, “we”, “us”, “our”) including in-person sessions, somatic ceremonies, and any online offerings. By booking or attending a session, purchasing any product, or using our website or online content, you agree to these terms.
Booking Service Terms and Conditions
1. Scope of Services
1.1 Soul Spa Alchemy offers body based nervous system work and somatic practices. Current offerings include individual in-person sessions with hands on bodywork, structured essential oil protocols using doTERRA oils, sound based support (tuning forks, crystal bowls, chimes), and ZYTO Balance scans to help inform oil and protocol choices.
1.2 At times, we also offer plant informed ritual work in a 1:1 setting, including ceremonial cacao and, where appropriate, small amounts of traditional Amazonian herbal preparations used in ritual contexts.
1.3 In addition to 1:1 work, Soul Spa Alchemy may offer group formats such as movement and dance sessions, embodiment workshops, women’s circles, and other gatherings that use breath, rhythm, and guided somatic practice to support regulation and integration. These may be in person or online.
1.4 From time to time, we may also provide online sessions, classes, or digital resources such as recordings, PDFs, or study material.
1.5 All services are complementary. They do not provide diagnosis, medical treatment, psychotherapy, or crisis support, and are not a substitute for appropriate medical or psychological care.
1.6 Services are intended for adults (18+), unless a different arrangement is agreed in writing.
2. Booking Process
2.1 Sessions are booked primarily through our online scheduling system (for example Acuity Scheduling) or via direct email if agreed.
2.2 To book, you must provide accurate personal information, including your full name, contact details, and any relevant health information requested.
2.3 Your booking is only confirmed once full payment has been received and you have accepted these Terms and any related policies (such as the cancellation policy).
2.4 For certain services, including the Somatic Ceremony Immersion and some group events, you may be asked to complete an application or screening form. We reserve the right to decline or postpone a session or place if we believe it is not suitable or safe at this time. In such cases, any payment already made will be refunded in full.
2.5 Some workshops or classes may be booked through third party platforms. In those cases, both these Terms and the platform’s terms may apply.
3. Payments, Deposits and Prices
3.1 All regular in person sessions, including the Nervous System Reset, are payable in full at the time of booking.
3.2 Somatic Ceremony Immersion sessions are also payable in full at the time of booking, due to the depth of preparation and limited availability.
3.3 Payment is processed through approved providers such as Stripe or other methods that may be added in the future.
3.4 Current prices for services are listed on the website or booking page. We reserve the right to change prices at any time. The price applicable to you is the price displayed at the time you make and pay for your booking.
3.5 Any promotional offers, packages, or discounts are time limited and may be withdrawn or amended at our discretion.
3.6 From time to time we may offer group workshops, series, or online programmes. Unless otherwise stated, these are also paid in advance at the time of booking.
3.7 If payment fails or is reversed (for example due to chargeback), we reserve the right to cancel your booking and refuse further services until the matter is resolved.
4. Cancellation, Rescheduling and No-Show Policy
4.1 Nervous System Reset
4.1.1 You may cancel or reschedule a Nervous System Reset session up to 48 hours before the scheduled start time for a full refund or transfer of the fee to another date, subject to availability.
4.1.2 Cancellations made with less than 48 hours’ notice, or failure to attend (no show), are charged in full. No refund will be given.
4.1.3 If you arrive late, your session will still end at the scheduled time so that other clients are not delayed. If you are more than 15 minutes late, we may decide that the session cannot go ahead and this will be treated as a late cancellation, charged in full.
4.1.4 Genuine emergencies and sudden illness may be considered on a case by case basis. Any exceptions are at our discretion and do not set a precedent.
4.2 Somatic Ceremony Immersion
4.2.1 Somatic Ceremony Immersion sessions require full payment at the time of booking.
4.2.2 If you cancel more than 7 days before your scheduled ceremony, your fee will be refunded minus a £75 processing and preparation fee.
4.2.3 If you cancel within 7 days but more than 48 hours before your ceremony, 50% of the session fee will be retained and 50% refunded.
4.2.4 Cancellations with less than 48 hours’ notice, or failure to attend (no show), are charged in full. No refund will be given.
4.2.5 The processing and preparation fee reflects non refundable card provider charges, administrative time, and the cost of materials and ceremonial preparation specific to your session.
4.2.6 Because of the depth of this work, Somatic Ceremony Immersions are by application only. We may decline or postpone a session if we believe that it is not clinically or emotionally appropriate at this time. If we cancel for this reason, any payment already made will be refunded in full.
4.3 Group Workshops and Events
4.3.1 Group workshops, courses, or movement sessions may have their own specific cancellation terms, which will be stated on the event listing or booking page.
4.3.2 Unless otherwise stated, group events are non refundable within 7 days of the start date, except where we cancel the event.
4.4 Cancellations by Soul Spa Alchemy
4.4.1 In rare circumstances we may need to reschedule or cancel a session or event due to illness, emergency, or circumstances beyond our control.
4.4.2 If we cancel, you will be offered a new date or a full refund of the amount paid for that session or event. We are not liable for any other costs you may incur as a result (for example travel, childcare, or accommodation).
5. Health, Safety and Suitability
5.1 You are responsible for informing us of any relevant medical conditions, injuries, medications, allergies, sensitivities, or significant psychological history that may affect your ability to take part safely. This includes, but is not limited to:
cardiovascular conditions, high blood pressure, or heart disease
epilepsy or seizure history
severe asthma or respiratory issues
pregnancy, trying to conceive, or breastfeeding
recent hospitalisation for mental health
active addiction, severe dissociation, or psychosis
sensitivities or allergies to scents, essential oils, cacao, or tobacco containing preparations
5.2 Some services may not be suitable if you are pregnant, breastfeeding, have serious cardiovascular or respiratory conditions, epilepsy, certain psychiatric diagnoses, or are taking specific medications such as MAOIs. The screening form and intake process help to assess suitability.
5.3 We reserve the right to refuse, stop, or modify a session or participation in a group if you have not disclosed relevant information, or if we believe continuing may not be safe or appropriate.
5.4 Our services are complementary and supportive. They are not designed for acute crisis, active psychosis, or situations that require emergency or intensive clinical care. If you are in crisis, you should contact emergency services, your GP, or appropriate crisis support.
6. Nature of the Work and Professional Disclaimer
6.1 Soul Spa Alchemy offers somatic bodywork, nervous system support, movement and embodiment practices, and plant informed ritual from a complementary and non medical perspective.
6.2 Sessions and groups are not psychotherapy, counselling, psychiatry, or medical treatment. They are not intended to diagnose, treat, cure, or prevent any disease or mental health condition.
6.3 We do not guarantee specific outcomes or results. Each person’s experience is unique and depends on many factors, including personal history, lifestyle, and current circumstances.
6.4 You agree to remain responsible for your own physical, emotional, and mental well being before, during, and after sessions or events. This includes seeking appropriate medical or psychological support where needed.
7. Plant and Ritual Ceremony Elements
7.1 Some services, including the Somatic Ceremony Immersion, may involve the optional use of plant allies such as ceremonial grade cacao and small amounts of traditional Amazonian tobacco and herbal preparations, used in established ritual contexts.
7.2 These elements are always:
explained in advance
offered only with your explicit, informed consent
used in small, contained amounts
optional and not required for the effectiveness of the session
7.3 You may decline any plant element at any time. You can also pause or stop the session if you feel overwhelmed or uncomfortable.
7.4 You acknowledge that your response to plant elements may vary and can include emotional release, fatigue, or other physical and emotional sensations. You agree to take responsibility for listening to your body, communicating your limits, and seeking additional support if needed.
7.5 No plant materials or products are provided for home use, except where specifically agreed (for example, a custom essential oil blend). Ritual tobacco based preparations are not sold for self administration.
8. Confidentiality and Data Protection
8.1 We treat all personal and health information you share as confidential, within the limits of the law.
8.2 Information may be shared without your consent only if required by law, or if there is a serious and immediate risk of harm to you or another person.
8.3 We store your data in line with UK data protection law (UK GDPR). This includes taking reasonable steps to protect it from unauthorised access, loss, or misuse.
8.4 You have rights over your data, including access, correction, and, in some cases, deletion. For any data requests, you can contact us using the details on the website.
9. Online Services and Digital Content
9.1 From time to time we may offer online sessions, workshops, courses, recordings, or written materials (“Digital Content”).
9.2 All Digital Content is for personal use only. You may not record, share, copy, distribute, publish, or resell any content without our express written permission.
9.3 Online sessions are subject to the same nature-of-work and disclaimer terms as in-person sessions. They are not a substitute for medical or psychological treatment.
9.4 You are responsible for ensuring you have a safe, private environment in which to participate in online sessions or classes.
9.5 We are not responsible for technical issues on your side such as internet connection, device problems, or software failures. Where possible, we will offer a reasonable alternative if severe technical issues prevent the session from going ahead.
9.6 As a general rule, refunds are not offered for downloadable or streamed digital content once access has been granted, except where required by law.
10. Client Conduct and Boundaries
10.1 Soul Spa Alchemy is committed to maintaining a safe, respectful space. We operate clear professional boundaries at all times.
10.2 The following are not tolerated in any context, in person or online:
verbal abuse or threatening language
sexualised behaviour, comments, or advances
aggressive, intimidating, or disruptive behaviour
attending sessions under the influence of alcohol or illegal substances
refusal to respect agreed boundaries around touch, space, or process
10.3 If such behaviour occurs, the session or event participation will be stopped immediately. You may be asked to leave the premises. No refund will be given and future bookings may be cancelled.
10.4 You agree to:
arrive on time, or let us know as soon as possible if you are delayed
communicate clearly about comfort, pain, or emotional overwhelm during sessions
follow any reasonable instructions that relate to your safety and the safety of the space
11. Liability
11.1 Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded under UK law.
11.2 Subject to the above, Soul Spa Alchemy will not be liable for:
any indirect, incidental, or consequential loss
loss of income, business, or opportunity
emotional or physical reactions that arise as part of your personal process, except where caused by our negligence
11.3 You understand that bodywork, somatic work, movement practices, and plant informed ritual may bring up physical or emotional responses during or after sessions. By booking, you accept this possibility and agree to take appropriate aftercare, including seeking medical or psychological support where needed.
12. Changes to Services and Terms
12.1 We may update, modify, or discontinue services at any time, including prices, session formats, and availability.
12.2 We may revise these Terms and Conditions from time to time. The updated version will be posted on the website with a revised date.
12.3 Your continued use of our services after any changes have been posted constitutes your acceptance of the updated Terms.
13. Governing Law and Jurisdiction
13.1 These Terms and Conditions are governed by the laws of England and Wales.
13.2 Any disputes arising from or relating to these Terms or to your use of our services shall be subject to the exclusive jurisdiction of the courts of England and Wales.
By booking a service with Soul Spa Alchemy, you agree to these terms and conditions.
